Microsoft Outlook Mini-HOWTO: Adding an E-mail Account

Microsoft Outlook is an e-mail client that comes with the Microsoft Office application suite. Microsoft Outlook Express is a light-weight version of Outlook which comes with most versions of Windows. This HOWTO will explain how to add a new POP3 e-mail account in both Microsoft Outlook and Microsoft Outlook Express. The directions are the same for both. The screenshots used in this HOWTO are from Outlook Express, but aside from looking slightly different, the instructions will be the same for Microsoft Outlook as well. I will collectively refer to both Microsoft Outlook and Microsoft Outlook Express as "Outlook" from here on out in this HOWTO. Before you can add a WebSight Designs e-mail account for e-mail addresses at your domain name, WebSight Designs will have to have set them up for you. If you have not yet let us know what usernames you would like added for your domain name, and what their passwords should be, you should contact us with that information by phone or e-mail before proceeding with this HOWTO.

Step 1 - Opening the "Internet Connection Wizard"

First things first, you will need to start Outlook. Once the program is running, go to the TOOLS menu at the top of the program, and then choose ACCOUNTS:

TOOLS > ACCOUNTS

This will open a dialog box entitled "Internet Accounts". Left-click on the button entitled "ADD". A new menu will appear with the options Mail, News, and Directory Service. Choose "Mail". This will open a dialog box entitled "Internet Connection Wizard".


Step 2 - Entering Your "Real Name"

E-mail protocol specifies that you may have a "Real Name" field which will show up instead of your e-mail address when people view the e-mail. If this is a personal e-mail account, you may wish to use your first and last name. If this is a company e-mail, you may wish to use your company's name, perhaps including the department as well. For instance, if the e-mail address you were adding was support@websightdesigns.com, you might wish to use "WebSight Designs Technical Support" as your Real Name. Outlook refers to this as "Display Name". Enter the Real Name in the text field labeled "Display Name:" and then press "Next".


Step 3 - Entering Your E-mail Address

Next you will need to enter your e-mail address. Your e-mail address should be entered in the format username@domain.com. So, if the username you requested is "info" and your domain name is "domain.com" then your e-mail address will be "info@domain.com". Enter the e-mail address into the text field labeled "Email address:" and then press "Next".


Step 4 - Entering the Server Names

Next you will need to enter the incoming and outgoing server names. WebSight Designs sets up each domain name with and incoming mail server hostname of "mail.domain.com" and an outgoing server hostname also of "mail.domain.com". So, replacing "domain.com" with your actual domain name, enter the incoming and outgoing server names. By default, the dropdown menu at the top should have "POP3" selected. You will want to make sure "POP3" is still selected and then press "Next".


Step 5 - Entering Your Usename and Password

Outlook refers to your usename as "Account name" in this dialog box. You will need to include the @domain.com portion of your e-mail in your username when entering it, because WebSight Designs runs qmail as our MTA (Mail Transfer Agent). Enter the username in the text field entitled "Account name" and then enter your password in the text field entitled "Password". Be sure to type your password carefully, as you will not be able to see the characters as you are typing them. Passwords are case-sensitive so make sure your caps lock isn't on as well. When you're done entering your username and password, press "Next".


Step 6 - Exiting the "Internet Connection Wizard" Dialog Box

To leave the "Internet Connection Wizard", press "Finish".


Step 7 - Exiting the "Internet Accounts" Dialog Box

To leave the "Internet Accounts" dialog box, press "Close".


You should now have succesfully added a new e-mail account in your Outlook e-mail client. To check your e-mails, press the "F5" button on your keyboard or click on the "Send/Receive" button at the top of the program.
